If you have any questions about this statement or how we use your information, contact us at info@introteach.co.uk, on 01269 400 500, or by post to Introsport UK Limited, London House, Gorslas, Llanelli, SA14 7HP.
This statement explains how we collect and use personal information about people who use our website, register with us to work, act as referees, submit timesheets, or contact us. We comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications (EC Directive) Regulations 2003 (PECR).
Your name, email address and the message you send us.
You register with us using the registration form on this website.
If you start registering but do not finish, we keep what you have entered so that you can continue later, and so that we can send you up to three reminders.
Your name, position, organisation, contact details and relationship to the applicant, and the reference you give about them. We use this to assess the applicant’s suitability for work in schools; the reference is kept on the applicant’s file and may be shared with schools considering them for work.
The IntroTeach app is a separate service with its own sign-up. It holds your account details (name and email address), the availability and skills you choose to share, and, if you allow notifications, a device token so that we can send you notifications. It is linked to your registration by your email address.
Timesheets (the schools you worked at, your role and hours), your availability for future work, and whether you use the IntroTeach app. If you use the app, the availability you give us on your timesheet is also updated in the app.
We may receive information about you from your referees, the Disclosure and Barring Service (including the DBS Update Service where you have given us permission), the EWC register, and schools you have worked in.
Health information is “special category” data and criminal record information has extra protection in law. We ask for it only to make reasonable adjustments, to assess whether you can safely carry out the essential duties of roles working with children, and to meet our safeguarding obligations. We rely on:
We keep this information confidential. Only the staff who need it to process your registration can see it. We will share it with a school only where that is necessary — for example to arrange an adjustment you need — and we will discuss this with you first. Answering “yes” to either question does not automatically prevent you from registering. We hold an appropriate policy document, as required by the Data Protection Act 2018, setting out how we protect this information and how long we keep it.
Our database is held in the UK and our servers in the EU. App notifications and the delivery of website forms may involve providers in the United States. Some of these providers may process information outside the UK. Where they do, we make sure it is protected by UK adequacy regulations or by approved safeguards such as the UK International Data Transfer Agreement. We never sell your information.
When these periods end we delete or anonymise the information, unless we need to keep it longer because of a legal claim or a legal obligation.
You have the right to ask us for a copy of your information; to correct it; to have it deleted; to restrict or object to how we use it; and to receive it in a portable format. Where we rely on your consent you can withdraw it at any time. Some rights have exceptions — for example, we may need to keep records required by law. To make a request, contact us using the details in section 1. We will respond within one month.
If you are unhappy with how we have used your information, please contact us first. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, 0303 123 1113.
Our website does not use advertising or analytics cookies. While you are filling in the registration form, your browser temporarily stores your progress (in “session storage”) so you can continue in the same tab; it is cleared when you close the tab or finish registering. Some pages can show content from other services — a Google map on our contact page and YouTube videos on some news pages. These are not loaded until you click to show them; once loaded, Google or YouTube may set their own cookies or store information on your device.
We do not make decisions about you using only automated processing.
We may update this statement. The latest version will always be on this page, with the date it was last updated.
